For teams

Hours for your whole team

The same calculator, with each person's weeks saved in one place. You enter the hours; your employees don't need to install or learn anything.

  • One sheet per person, any week or month
  • A monthly timesheet per person as a PDF, ready to sign
  • A CSV for payroll: hours, overtime and gross pay per person
  • Each person's overtime balance
  • Templates for your usual shifts

Start free with one person. The team plan adds more people.

The team app: one time card per person, totals, pay and the payroll export

Want employees to log their own hours? We are thinking about a version where each employee enters their own hours on their phone and you only check and export. Tell us about your team and we'll let you know if we build it.

To get your weekly hours, work out each day's hours (Out minus In, minus the unpaid break) and add the days together. A week of 8:00, 8:05, 8:15, 4:50 and 6:05 is 35:15, or 35.25 hours, which leaves 4:45 to reach 40. This weekly hours calculator adds the days as you type and shows the week's total in hours and minutes and in decimal hours.

How to use the calculator

  1. Check the week at the top. It opens on the current week. If your week does not start on Monday, change "Workweek starts on" under "Overtime, breaks and pay".
  2. Type In and Out for each day you worked. 9:30, 930 and 9:30 PM all work. Leave days off empty. If Out is earlier than In, the shift ends the next day and counts on the day it started.
  3. Enter the unpaid break in the Break column, in minutes (30) or hours and minutes (0:45).
  4. Same hours every day? Fill in Monday and use "Copy Monday to empty weekdays".
  5. Read the Total. The week's hours appear in hours and minutes and in decimal hours, next to the number of days worked and the breaks taken.

Want the money too? Add your "Hourly rate" under "Overtime, breaks and pay" and the week shows regular pay, overtime pay and gross pay.

Worked example: an uneven week

Five shifts of different lengths, one day off, workweek starting Monday:

DayInOutBreakHoursDecimal

Fri9:10 AM2:00 PMnone4:504.83
Sat10:00 AM4:20 PM15 min6:056.08
Week2:0035:1535.25

Three things to read from this week:

  • Total: 35:15 is 2,115 minutes, and 2,115 / 60 = 35.25 hours.
  • Hours left to 40: 40:00 minus 35:15 is 4:45.
  • Average per day worked: 35:15 over 5 days is 7:03 a day.

At $17 an hour, 35.25 x $17 = $599.25 for the week, all regular pay because the week stays under 40 hours.

How weekly hours are added up

  • Each day: Out minus In, minus the unpaid break. Tuesday: 8:50 PM minus 12:00 PM is 8:50, minus 45 minutes is 8:05.
  • The week: the calculator adds the minutes of every day first and converts to decimal once, at the end. That is why the decimal column above adds up to 35.24 while the week shows 35.25: each daily decimal was rounded on its own. For payroll, use the week's total.
  • Decimal hours are minutes divided by 60: 15 minutes is 0.25, 45 minutes is 0.75. The hours to decimal converter has a chart for every minute.

Whether a number of weekly hours counts as full time or part time depends on who is asking: statistics, health coverage and your employer each draw the line differently. The guide full time vs part time hours lists who uses which number.

When the week goes over 40 hours

The calculator opens with the U.S. federal overtime rule: hours over 40 in a workweek are paid at 1.5 times the regular rate (29 U.S.C. § 207(a)(1)). A workweek is a fixed, recurring period of 168 hours that can start on any day (29 CFR 778.105), so set the start day your employer uses.

Take a four day week of 10 hours, Monday to Thursday, plus 4:30 on Friday at $20 an hour:

HoursRatePay
Regular40:00$20.00$800.00
Overtime (1.5x)4:30$30.00$135.00
Week44:30$935.00

The four 10 hour days alone are exactly 40:00 and have no federal overtime. There are presets for California, Alaska, Nevada and Colorado; other states can have their own rules, including daily overtime. The overtime calculator explains each one.

In the UK, there is no statutory overtime premium. Enter your contract hours under "Contract hours per week" and the week shows the balance against them. With 37.5 contract hours and 38:30 worked, the balance is +1:00.

Keep the week

The week stays saved in this browser only. Download it as a PDF timesheet with signature lines for the employee and the supervisor, or as a CSV file. For a two week pay period, the biweekly timesheet calculator shows 14 days with overtime counted per week. If you do hours for several people, a free account keeps one person's weeks, and the team plan adds more people, a monthly timesheet PDF per person and one payroll CSV for everyone.

FAQ

How do I calculate my hours worked in a week?

Work out each day's hours (Out minus In, minus the unpaid break), then add the days together in hours and minutes. Convert the total to decimal once, at the end: 35:15 is 35.25 hours.

How many hours are in a week?

A week has 168 hours (7 days x 24 hours). A standard full time workweek in the U.S. is 40 hours, often written as 5 days of 8 hours.

How many hours do I have left to reach 40?

Subtract your hours so far from 40:00. After 35:15, you have 4:45 left. Fill in the days you have worked and the Total shows where you stand.

How do I add up weekly hours with a lunch break?

Enter the unpaid lunch in the Break column for each day, or turn on the automatic lunch deduction under "Overtime, breaks and pay", for example 30 minutes on shifts longer than 6 hours. Only meal breaks you are fully off duty for are taken off.

What is 37.5 hours a week in decimal?

37 hours 30 minutes is 37.5 hours, because 30 minutes is half an hour. As a schedule, it is 5 days of 7:30, such as 9 to 5 with a 30 minute lunch.

Does a night shift count on the day it starts?

Yes. A shift from 10:00 PM to 6:30 AM with a 30 minute break counts as 8:00 on the day it started, so it stays in the right week.

Can I count a week that starts on Sunday?

Yes. Set "Workweek starts on" to Sunday. The calculator then adds Sunday to Saturday and counts any overtime for that week.
